Privacy Policy

This policy explains what personal data SurveyChecker.co.uk ("we", "us") collects, why we collect it, how long we keep it, and the rights you have over it. We process personal data in accordance with UK data protection law, including UK GDPR and the Data Protection Act 2018.
1. What we collect
- Account details — your name, email address and password (stored hashed, never in plain text).
- Uploaded reports — the survey PDF you upload, and the text we extract from it. Survey reports may incidentally contain personal data such as the property address, your name, and your surveyor's details.
- Analysis results — the scores, findings and summaries generated for your report, and operational logs of the AI requests used to produce them.
- Payment information — payment status, amounts and Stripe identifiers. We never see or store your card details; payments are handled entirely by Stripe.
- Technical data — standard server logs (IP address, browser type, timestamps) used for security and troubleshooting.
2. Why we process it
- To provide the service (contract): storing your report, analysing it, showing you results, and managing purchases and memberships.
- To operate safely (legitimate interests): security, fraud prevention, debugging and service improvement.
- To meet legal obligations: accounting and tax records for payments.
- To contact you about your account or purchases (contract). We do not send marketing without your consent.
3. Who we share it with
- OpenAI — extracted report text is sent to OpenAI's API to generate your analysis. It is used to provide the service, not for advertising.
- Stripe — for payment processing and subscription management.
- Our hosting provider — where the application and its private storage run.
We do not sell your data, and we do not share your report with surveyors, estate agents or any other third party.
4. How your report is protected
Uploaded reports are stored in private application storage and are never served from public URLs. Access is restricted to your account and our administrators. All traffic to the service is encrypted in transit over HTTPS.
5. How long we keep it
We keep your account data and analyses while your account is active. You may request deletion of uploaded files at any time (see below); we may retain minimal records of purchases where required by law, and analysis records needed for your account history.
6. Your rights
Under UK GDPR you have the right to access, correct, delete, restrict and object to our processing of your personal data, and to data portability. To exercise any of these rights, email hello@surveychecker.co.uk. If you're unhappy with our response, you can complain to the Information Commissioner's Office (ico.org.uk).
7. Cookies
We use only essential cookies: a session cookie to keep you signed in and a security token to protect forms. We do not use advertising or cross-site tracking cookies.
8. Changes to this policy
If we make material changes we'll update the date above and, where appropriate, notify you by email or on your dashboard.
